Purpose of the position
The Administrative Support will be responsible for supporting the administrative functions of the office, including documentation, scheduling, correspondence, logistics, and other support tasks.
Duties and responsibilities
Under the supervision of the Finance and Administration Coordinator and the Director of the Unit, the Administrative Support will:
- Perform general administrative and clerical duties (filing, scanning, copying, data entry).
- Assist in scheduling meetings, appointments, and coordinating calendars.
- Prepare and format documents, reports, and presentations as required.
- Maintain accurate office records and files (digital and hard copy).
- Assist in procurement and inventory of office supplies and equipment.
- Coordinate with the travel agency.
- Support event and meeting logistics, including room bookings, refreshments, and materials.
- Coordinate with IT or building maintenance for any facility issues.
- Support other departments with administrative tasks as needed.
- Maintain confidentiality and security of organizational information.
Qualifications and experience
- High school diploma required; post-secondary education in office administration or a related field is an asset.
- At least 2 years of experience in an administrative or office support role.
- Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong written and verbal communication skills in French and English, German is an advantage.
- Excellent organizational and time-management abilities.
- Attention to detail and accuracy.
- Ability to handle multiple tasks and work under pressure.
- Discretion and professionalism when dealing with confidential information.
- Team spirit.
