## Background & Context

Geneva Call is an international non-profit organisation promoting respect for humanitarian norms. The organisation seeks an **EU Affairs Assistant** under a *Convention d’Immersion Professionnelle* to support its EU advocacy, policy monitoring, and institutional engagement activities in Brussels.

The position is designed to provide hands-on professional experience in EU policy processes, advocacy support, stakeholder engagement, and event coordination within a humanitarian organisation.

## Purpose of the Assignment

The EU Affairs Assistant will support Geneva Call’s EU advocacy work by contributing to administrative support to the **Head of the EU Office**, stakeholder engagement, policy monitoring and research. This position is governed by a *Convention d’Immersion Professionnelle* (CIP) and is intended to provide supervised professional immersion in line with Belgian regulations.

## Scope of Work & Responsibilities

Under the supervision of the **Head of the EU Office**, the EU Affairs Assistant will:

– Provide **administrative and logistical support** to the Head of the EU Office, including scheduling, coordination, and meeting preparation.
– Support **advocacy and stakeholder engagement**, including tracking interactions with EU institutions, Member States, and civil society networks, and assisting with meeting preparation and follow-up.
– Support **EU policy monitoring and research**, including tracking relevant EU legislative and policy developments and preparing concise summaries.
– Assist in drafting **briefing notes, policy updates, talking points, and meeting summaries** for internal and external use.
– Contribute to the organisation of **events, workshops, and briefings** in Brussels.
– Maintain and update **contact lists, databases, and documentation** related to EU affairs.
– Carry out **any other tasks related to EU affairs and office activities as required by the Head of the EU Office**, in line with the learning objectives of the immersion contract.

## Learning Objectives

Through this immersion, the trainee will:

– Gain practical knowledge of **EU institutions, policymaking processes, and advocacy work**.
– Develop skills in **policy research, drafting, coordination, and stakeholder engagement**.
– Strengthen understanding of **humanitarian issues and networks** in the EU context.
– Build organisational and professional skills relevant to EU advocacy roles.

## Deliverables

By the end of the contract, the EU Affairs Assistant will contribute to:

– Regular EU policy monitoring outputs (e.g. summaries or updates).
– Update the Brussels office contact and data list.
– Support the Brussels Office communication strategy to the EU in line with the overall Geneva Call’s communication strategy.
– At least **two briefing notes** on EU policy issues relevant to Geneva Call.
– A **final learning and reflection note** outlining skills acquired and experience gained.

## Supervision & Reporting

The EU Affairs Assistant will report directly to the **Head of the EU Office**, with regular supervision, guidance, and feedback.

## Duration, Work Hours & Location

– **Duration**: 6 months, with possible extension
– **Work Hours**: Full-time (38–40 hours per week)
– **Duty Station**: Brussels, Belgium (hybrid work arrangement possible)

Insurance and other arrangements will be provided in accordance with Belgian CIP requirements.

## Eligibility & Competencies

### **Education & Profile**

– University degree (Bachelor or Master) in EU Affairs, International Relations, Political Science, Law, or a related field.
– Strong interest in EU policy and humanitarian issues.

### **Skills**

– Fluency in English and in French.
– Strong drafting, research, and analytical skills.
– Good organisational and communication abilities.

### **Legal Requirement**

– Candidate must be eligible to work under a *Convention d’Immersion Professionnelle* in Belgium and to comply with regional training plan requirements.
