The European Network Against Racism (ENAR aisbl) is a pan-European anti-racist network. We advocate for racial equity and justice across Europe and play a leading role in facilitating cooperation among civil society anti-racism actors in Europe.

Position: Events and Administration Associate
You’ll be working as part of our Finance and Operations team but will have contact with the whole organization, as well as its members. A big part of the job will be for events organised by the Network Development team.
Reporting to the Finance and Operations Manager, you will be tasked with organising the logistical aspects of events from A to Z, including being the primary contact with suppliers, communications with participants, follow up of reimbursements etc. As well as supporting the administration team in overseeing the office space and the team’s needs.

Your Responsibilities
Event Management
-
Manage the logistical organisation of all ENAR meetings and events and coordinating with suppliers for these activities

Source and map suppliers and venues that are fit for purpose, cost-effective, and in accordance with our values

Oversee event budgets and ensure cost-effectiveness

Serve as the primary contact for event service providers

Collaborate with Network team in managing event registrations and communications with participants before, during, and after the events

Use ENAR CRM platform (GlueUp) for email campaigns and events registrations

Support to the Finance team by processing reimbursement requests from participants
-
Support the Network Development team and the Operation team in reporting
Administration Support

Arrange travel for team and board members as needed and according to budgetary guidelines
-
Follow up with providers and other stakeholders on financial documentation

Manage correspondence (emails, letters, packages, courier services)
Office Management Support

Support to reception of visitors and logistics related to internal meetings

Manage office supplies, equipment, and maintenance services
-
Liaise with vendors, service providers, and landlords/building management
-
Monitor and control inventory to avoid shortages or excess
Personal Requirements and Skills
-
1-2 years of formal or informal experience in similar role
-
Excellent command of written and spoken English, additional languages such as French or Dutch are a distinct advantage to liaise with Belgian-based suppliers

Strong organisational and time management skills

Strong written and verbal communication competences

Adaptability and problem-solving skills

Keen interest in event logistics and administration

Team-oriented mindset and willingness to collaborate with others

Social justice and civil society experience are a plus

Commitment to ENAR’s cause and genuine interest in supporting its mission
Reporting Duties
The Associate officer reports to the Finance and Operation Manager.
