Job title: Finance & Administration Officer

Reporting to: Finance & Operations Manager

Contract type: Permanent

Place of work: Brussels, Belgium

Salary: Monthly gross salary 2.653,02€ (around 2.300€ net with benefits stated below)

  • 13th month salary, paid in December

  • Extra holiday pay, paid (after 1 year of work in Belgium) in May to the value of 92% of a usual work month

Roles & Responsibilities

Administration

  • Support the Finance & Operations Manager to coordinate daily running of office systems, supplies, and equipment

  • Ensure office is well-maintained, stocked, and organised

  • Liaise with service providers and building administrators

  • Process incoming & outgoing correspondence and respond to enquiries

  • Provide efficient administrative service by implementing & monitoring systems

  • Develop & implement online filing system

  • Act as point of contact for clients & visitors

  • Ensure administrative compliance with Belgian authorities

  • Undertake other reasonable duties as required

Financial

  • Assist with processing invoices & reimbursements accurately & on time

  • Scan & organise financial documents

  • Support collection & recording of annual membership fees

  • Liaise with host organisations & providers to ensure financial document filing

Events & Meeting Logistics

  • Coordinate logistics of meetings & events (travel booking, accommodation, venues)

  • Prepare information packs for meetings & events

  • Answer participant enquiries before & after events

  • Prepare documents for meetings & events

  • Collect & organise all relevant meeting & event evidence

  • Attend events/meetings to provide admin & logistical support

  • Take minutes, type up notes from meetings & events as required

Personal Specifications

Essential Experience

  • Experience of office administration

  • Experience coordinating event logistics (travel, accommodation, catering, venue hire)

Desirable Experience

  • Experience of working for an NGO (paid or voluntary)

  • Experience coordinating international event logistics

Personal Qualities, Skills & Knowledge (Essential)

  • Good spoken & written English and French/Dutch – at least B2 level

  • Excellent organisational & numerical skills

  • Accounting skills

  • Knowledge of office management systems & procedures

  • Accuracy & attention to detail

  • Ability to multi-task & manage several activities & deadlines simultaneously

  • Ability to be proactive and work autonomously

  • Approachable manner & ability to answer a wide range of enquiries in a prompt & courteous manner

Desirable

  • LGBTQIA+, gender & diversity knowledge & experience

Technical

  • Essential: Excellent IT skills with extensive experience of using Microsoft Office & Google Drive

  • Desirable: Experience using accounting softwares such as Winbooks and membership database software

General

  • Eligible to work in Belgium

  • Ability to relocate to Brussels & travel occasionally

  • Ability to work flexibly, including irregular hours
