HCWH Europe is headquartered in Brussels, Belgium, with staff working remotely across six other countries in Europe. HCWH works closely with health professionals, hospitals, healthcare systems, NGOs, local government, Ministries of Health and international organisations. Position Overview
We are looking for a dynamic and well organised Operations Officer willing to learn and work in a small team to provide high quality support services to deliver on the mission of HCWH Europe. We work in a very collaborative manner and have a positive outlook on our work.
The Operations Officer will report to the Director of Operations and work very closely with the Finance Manager and the Finance and Administration Officer. The Operations Officer will play an important role within HCWH Europe’s operational support functions, particularly Finance but also Human Resources, Administration and Office Management, to help the organisation achieve its strategic goals. The Operations Officer will also have extensive interactions with the other teams and external stakeholders.
Key Responsibilities
Support the Finance and Administration Officer, Finance Manager and Director of Operations in all aspects of HCWH Europe’s financial, Human Resources, Administration & Office Management operations, including:
Finance

Timely recording and monitoring of book-keeping operations in the financial software (currently WinBooks) including:

Purchase invoices;
-
Sales Invoices;
-
Credit cards;
-
Bank statements;
-
Payroll accounting.

Preparation of payments and liaison with suppliers.

Cash-flow monitoring and reporting.
-
Supporting the organisational and programme audits and publication of annual statutory accounts.

Ensuring accurate encoding (cost and general accounting), reconciliation, and maintenance of financial records to support daily finance operations.
Office Management & Administration

Maintaining the inventory of office supplies and ensuring the maintenance of all office equipment and ICT technology (e.g., staff laptops), and leading any re-ordering processes.

Responsibility for the day-to-day administration of the office services (post, liaising with landlord, etc).

Administration of contracts with suppliers and contractors.
Travel and expense claims

Support for travel bookings and payments for staff members and partners.

Review and process travel expense claims.
Human Resources
-
Maintaining onboarding and offboarding documentation and coordinating HR reporting, such as staff records, contracts, timesheets, etc.

Assisting with the management of HR processes and liaising with insurers, payroll, pension and other service providers, etc, as required.

Supporting general HR administration, including leave management, updating employee records in our HR system, preparing letters and contract addendums, coordinating probation reviews, and assisting with recruitment processes.
Governance

Support to the Executive Director for the organisation of Board of Directors and Annual General Meetings.

Maintenance of governance platform.
Qualifications and Experience

A degree in Business, Accounting, Finance, or a related field.

Preferably one-to-two years of relevant working experience.

Knowledge of accounting principles and some experience in bookkeeping.

Working knowledge of WinBooks or similar accounting software programmes (preferable).

Interest or previous experience working in non-profit and/or member-based organisations/associations.
This post is based in Brussels so the post holder is expected to be based in Belgium. As the responsibilities include office management, the operations officer will be expected to work regularly from the office. No relocation package is provided.
Knowledge, Skills and Abilities

Fluency in English and French (written and spoken) are mandatory for this role. The main language in HCWH Europe is English.

13th-month salary bonus paid out in December, applicable after 1.5 years employment.

Double holiday pay (double pécule de vacances), paid out in May/June – pro rata to the number of days worked in the previous year in Belgium.

Monthly transport allowance of €49 per month (Brussels-based) €115 (outside Brussels).

Christmas break: The office is closed between Christmas and New Year inclusive (paid holiday).

We operate on a four-day work week, wherein every Friday is a paid day off without the need for extra hours, resulting in 32 (efficient) hours of work instead of 38 hours.
