The Joint Research Centre (JRC) provides independent, evidence-based knowledge and science, supporting EU policies to positively impact society.
The current vacancy is in the Legal Affairs and Central Intellectual Property Service Unit of the JRC Directorate for Strategy and Impact. This Unit provides advice and support on legal matters, including protection of personal data, dealing with access to documents, Ombudsman’s inquiries and other complaints. The Unit is responsible for the Commission’s Central Intellectual Property Service, which is the entry point for IP advice, IP management and for raising awareness on IP with the Commission services.
The main purpose of this post is to provide administrative and secretarial support to the Head of the Unit (HoU) and to the Unit staff in handling day-to-day tasks to ensure the efficient operation of the Unit.

We propose
A position as Secretary to assist the HoU and the Unit Staff with administrative and secretarial support.
Main tasks will include
-
Keep agenda, organise and coordinate meetings, prioritise correspondence and requests, track deadlines.

Prepare and finalise documents, compose and type correspondence for the Unit.

Organise unit meetings, take minutes and follow-up action points.
-
Manage absences and monitor flexitime for the Unit.

Register and send outgoing mail (ARES).
-
Prepare missions (MIPS) for the HoU & Unit Staff.

Assist with Human Resources matters and prepare for the arrival of new unit staff members.

Act as a point of contact for matters relating to document management.

Organise the archive and file correspondence and other documents in accordance with the JRC document management policy.

Provide assistance to the JRC Directorate A Quality Manager in the implementation of the JRC Integrated Management System (IMS) Project as regards Unit A4 activities.

Participate in the preparation of annual (pre-)audits in the Unit.

Ad hoc duties, within the framework of overall secretarial duties as they arise or upon specific request of the unit head.

We are looking for a Secretary who must have a minimum of 2 years experience in an administrative or secretarial role, preferably in a similar international organization or EU institution.

Applicants shall have a good (B2) command of English. A good command of another EU official language would be considered as an advantage.

The ideal candidate has good spoken and written communication skills and should be capable of handling interactions with different stakeholders within and outside the Commission.

The applicant should have the ability to prioritise and the resilience to manage multiple files simultaneously, to facilitate the smooth operation of the Unit; excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines; strong communication and interpersonal skills, with the ability to work effectively with people at all levels; the ability to maintain confidentiality and handle sensitive information with discretion.
