Full-time, Brussels

Europe Jacques Delors is looking for a full-time (38 hours/week) team and executive assistant, based in Brussels. The position is to be filled as soon as possible, initially for the duration of a year, with the possibility to extend.

Europe Jacques Delors is a Brussels-based, non-profit and independent think tank, which was created in early 2020 in addition to the Jacques Delors Institute in Paris and the Jacques Delors Centre in Berlin. The three think tanks aim to contribute to the debate on the European integration in line with Jacques Delors’ vision and legacy.

Europe Jacques Delors is focusing on sustainability and environmental issues, working on agrifood, ocean protection and green finance.

Your tasks:

Admin 60%

  • Coordinate travel and accommodation bookings for the team (flights, trains, hotels, etc.).

  • Organise and oversee the administration of the General Assembly and Board meetings (held twice a year), including logistics, documentation, and minutes.

  • Support recruitment processes, including scheduling interviews, liaising with candidates, and managing onboarding logistics.

  • Manage the President’s calendar, inbox, travel, and meeting arrangements.

Finance 25%

  • Assist the Administration and Finance Manager with day-to-day administrative and financial tasks.

  • Maintain accurate records and ensure proper archiving of financial and administrative documents.

  • Support invoice processing, expense tracking, and budget monitoring.

Office management 15%

  • Serve as the first point of contact for visitors and external partners; manage logistics for meetings, access badges, and room bookings.

  • Oversee office supplies and assets; manage orders for IT equipment and coordinate with external IT support for onboarding and access requests.

  • Plan and deliver internal and external events in coordination with the communications officer (venues, catering, travel, accommodation, documentation, logistics).

Your profile:

  • A degree in business administration, management, accounting, finance, or a related field

  • Experience in the field (at least two years) is important, and experience in management of a Belgian ASBL is an asset.

  • A very good knowledge of office software (Word, Excel, PowerPoint) is necessary, knowledge of documentation and archiving methods is an advantage.

  • Fluency in French and in English is required.

  • Attention to detail, proactive mindset and problem-solving attitude

  • Excellent organisational skills and strong time management skills

  • A strong sense of initiative, and the ability to work both autonomously and as part of a team.
