Summary
The Mission seeks qualified applicants to support the DOJ Senior Counsel, the USEU DOS Legal Adviser, and the USEU Executive Team. The role covers substantive research, policy analysis, project support, financial management, and office administration, split evenly (50/50) between DOJ and DOS responsibilities.
Duties
Project & Programme Support
- Serve as administrative lead for coordinating DOJ/DOS delegation participation in Justice and Home Affairs meetings and ministerials, including travel, lodging, accreditation, badging, and reporting cables.
- Act as control or site officer for VIP visits; manage itineraries, security screening, conference rooms, motorpool, hotel reservations, and catering.
- Perform data entry in SmartSheets, CRM, and SharePoint; support scheduling and contact management for major events such as the July 4th and holiday functions.
- Set up and organise classified calls with the National Security Council (NSC) with European Union partners.
- Maintain the Standard Operating Procedure book and a Look Book reflecting current staff.
- Some regional travel may be required for conferences.
Legal & Law Enforcement Research
- Develop familiarity with complex issues in justice and law enforcement cooperation; research bodies including EUROJUST, EUROPOL, the CJEU, the EDPB, and the European Parliament's LIBE Committee.
- Attend EU institutional plenary sessions and events; provide briefings and readouts to supervisors.
- Review and screen classified and unclassified cable traffic for relevant action items.
DOJ Financial Management
- Serve as ICASS Budget Committee representative for DOJ; prepare materials, brief supervisors, attend meetings, and review MOUs and Subscription to Services documents.
- Review ICASS initial and final budgets, workload counts, and time allocations; resolve discrepancies with DOJ headquarters.
Office Support
- Assist supervisors with scheduling, meeting coordination, and room reservations.
- Help prepare and execute bilateral and multilateral meetings; procure catering, translation, and IT support.
- Develop briefing books for VIP visitors and high-level meetings; take meeting notes for post leadership.
Qualifications and Requirements
Language: Fluency in English (may be tested).
Job Knowledge: Familiarity with DOJ and DOS mission priorities; knowledge of EU institutions including the European Commission, the European Parliament, the Council of the EU, and the Court of Justice of the EU.
Skills and Abilities: Full proficiency in PC software, including DOJ email or DOS SMART systems; strong project, time, and data management skills; ability to work independently with minimal supervision (may be tested).
Education and Experience
FP-07
- Option A: Bachelor's degree plus 3 years of professional government or policy experience in a senior-level office, including research/policy analysis and budgeting/accounting.
- Option B: Secondary school completion plus 6 years of equivalent experience.
FP-08
- Option A: Bachelor's degree plus 2 years of qualifying experience.
- Option B: Secondary school completion plus 5 years of qualifying experience.
All options require experience with research/policy analysis and budgeting/accounting.
