The Council of European Energy Regulators (CEER) is seeking an Operations Assistant for its Brussels-based Secretariat.

CEER is a not-for-profit association under Belgian law and is the independent voice of 39 national energy regulators from across Europe. Through CEER and its Secretariat based in Brussels, European energy regulators cooperate, exchange best practices and develop regulatory policy to benefit Europe’s energy consumers. The CEER Secretariat is seeking a full-time Operations Assistant to help deliver its work. The position offers the right candidate an opportunity to join a small dynamic Secretariat close to EU energy policy-making and legislative developments. As an Operations Assistant at CEER, you will play a crucial role in supporting the day-to-day operations of our organisation.

Duties (non-exhaustive)

The Operations Assistant is responsible for providing operational, logistical and technical support, including:

  • Provide operational and technical support for meetings and events in the Secretariat or held online, for example conferences and webinars;

  • Coordinating meetings, events and other internal/external activities;

  • Manage general office logistics (suppliers, catering, repairs, meeting room set-up, etc.) and external contractors (cleaning company, printing company, etc.);

  • Provide general office administration support to the Secretariat;

  • Provide administrative support not covered by Working Group Coordinators to member staff’s CEER work;

  • Provide support to the Secretary General, for example taking phone calls, managing calendar, updating the website per requests;

  • The first point of contact for the CEER Secretariat for office visitors, the general phone number and email address (dispatching requests to colleagues as necessary).

  • Provide CEER public and internal website support and general IT support to the Secretariat team; regular website updating including: uploading documents, keeping the calendar up to date;

  • Coordinate and serve as the point of contact for IT queries between Secretariat staff and the relevant IT provider;

  • Contribute to work related to the CEER questionnaire system;

  • Prepare membership invoices;

  • Managing incoming and issuing invoices, collecting proof of payment for the accountant.

Requirements

  • University degree or equivalent years of experience/training in an administrative role;

  • At least 2 years of professional experience working in an office environment;

  • Strong communication skills in English, verbally and in writing, including an ability to explain complex issues succinctly and edit documents for clarity and correctness;

  • Flexible, proactive attitude with strong team and organisational skills, and an eagerness to learn on the job;

  • Ability to prioritise work and deliver under pressure;

  • Excellent knowledge of IT systems, virtual meeting and webinar software and Microsoft Office 365 applications generally;

  • Excellent knowledge of online meeting tools such as: MSTeams, Ability to learn quickly new tools; and

  • Working knowledge of French.
